This Privacy Policy explains what information VitalCode, Inc. ("VitalCode", "we", "us", or "our") collects through vitalcode.io (the "Site"), how we use and protect it, and the choices you have. VitalCode is based in Ashburn, Virginia. By using the Site, you agree to this policy and our Terms of Use.

We never sell your personal information, and we never share it with third parties for their own marketing or advertising purposes.

Information you give us

When you request a free AI Opportunity Assessment, we collect your name, work email, company, company size, industry, the areas you'd like to improve, and the challenge you describe. We use this information only to respond to your request, schedule and deliver the assessment, and follow up about it. Your request is delivered to us by email through Microsoft 365, using a form service hosted on Google Cloud (Firebase).

If you book a consultation, scheduling is handled by Microsoft Bookings, part of Microsoft 365. We receive the name, email address, and any other details you enter so we can hold the meeting, and Microsoft sends the confirmation and calendar invitation on our behalf.

If you email us directly, we receive the information you include in your message.

Analytics and cookies

We use Google Analytics to understand how visitors use our site, such as which pages and sections are viewed, which buttons are clicked, the type of device and browser, and approximate location (city or region). Google Analytics uses cookies to do this. We do not use advertising or remarketing features, and we don't send your name, email address, or form answers to Google Analytics.

If you visit from the European Economic Area, the United Kingdom, or Switzerland, analytics cookies are only set if you accept them. You can change your choice at any time using "Cookie settings" at the bottom of our homepage, or opt out of Google Analytics on all websites with Google's browser add-on. We do not sell or share your information

We do not sell, rent, trade, or share your personal information with third parties for their marketing, advertising, or any other purposes of their own, and we never will.

To operate the Site, we rely on a small number of service providers that process information only on our behalf and under our instructions: Google Cloud and Firebase (website hosting and form delivery), Microsoft 365 (email and appointment scheduling), and Google Analytics (site usage statistics). These providers are not permitted to use your information for their own purposes. We may also disclose information if we are required to do so by law, such as in response to a valid subpoena or court order.

How we protect it

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections (HTTPS) and access controls on the systems that store it. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it.

How long we keep it

We keep assessment requests and related emails for as long as needed to respond to you and maintain our business records, and then delete them.

Your choices and rights

You can ask us to access, correct, or delete the personal information we hold about you by emailing info@vitalcode.io. We'll respond within a reasonable time and in line with applicable law.

Children

Our site is intended for businesses and is not directed to children under 16.

Changes to this policy

If we change this policy, we'll update it on this page and revise the date above.
